How to Create a Content Policy for WhatsApp

Content Policies let you automatically detect and remove WhatsApp messages that violate your organization's communication rules. When a message matches the criteria you define, Jatheon Cloud deletes it directly on WhatsApp (for everyone in the conversation) and keeps a clear record that it happened. This is useful when you need to enforce rules such as prohibited language, confidential keywords, or specific phone/account numbers appearing in WhatsApp chats, without having to monitor conversations manually.

To create a content policy, log in with Compliance Officer role or a custom role with Content policy permission, go to the Content Policies page (available in the sidebar once WhatsApp archiving is enabled for your account), and click New Content Policy on the Content Policies tab to set up a new policy.

The page has two tabs: Content Policies, which lists your existing policies, and Reasons.

On the Reasons tab, click Create Reason to add a reason you can later assign to a policy. Enter a Reason label (required, up to 30 characters, e.g. "Forbidden phrase") and, optionally, a Description (up to 1000 characters) explaining when it should be used, then click Save. The Reasons tab also shows, under # Policies, how many existing policies currently use each reason.

A new policy opens with one search criteria block already displayed, labeled And. Configure the following options:

Account
Choose the WhatsApp account (or All Accounts) this block should apply to.

Type
Choose which message type(s) this block should check (or All Types).

Field
Choose what part of the message to check: From, To, Chat Name, Message Content, Attachment, or Status.

Operator
Choose how the field should be matched: Contains Phrase, Does Not Contain Phrase, Contains All, Contains Any, Does Not Contain Any, Contains Keywords from Keyword List, Does Not Contain Keywords from Keyword List, or Contains Special Number.

Add Field
Adds another condition to the same block. All conditions within one block are combined with AND — a message must match every condition in the block for the block to match.

Add Block
Adds a new criteria block, labeled Or. Use this when you want the policy to trigger on any one of several independent sets of conditions — a message needs to fully match only one block (not conditions spread across different blocks) for the policy to be triggered. You can add as many additional blocks as you need, and remove any block except the initial one.

Once your criteria are configured, choose what should happen when a message matches:

Delete from source platform
Deletes the matching message for everyone on WhatsApp.

Sender email notification
Sends the message's sender an email letting them know their message was deleted due to a policy violation.

Record audit events
Logs the policy hit so it can be reviewed later.

Once everything is configured, click Save Changes.

Messages removed this way are marked in Jatheon Cloud with a Deleted by Policy status, shown differently from messages that were simply deleted or edited by the user. To find them later, go to Search, select your WhatsApp account(s), and set the Status field to Deleted by Policy.
