As a user with the Manage FOIA requests permission, you can upload a FOIA or public records request, and Jatheon Cloud turns it into a ready-to-run search.
Upload a FOIA request
- Go to the Search section and click the Email tab.
- Click Upload FOIA Request in the top right corner.
- Drag and drop the request file into the window, or click Browse and select it. You can upload a PDF or a text (.txt) file.
- Click Upload File.
You'll see a confirmation message: File uploaded. Once processed, you will be able to find the search in the Saved Searches section.
The request is processed with AI, and the generated search is saved to the FOIA tab of Saved Searches, usually within a few minutes. Your file is processed internally and isn't shared with third parties.
View and run a FOIA search
- Go to the Saved Searches section and open the FOIA tab.
- Under My Searches, find your request. Each one shows the date and time, its name and the generated search criteria. The name is based on the file name.
- Click Run Search.
The search runs in Advanced Search, with its conditions, mailboxes and date range filled in from the request. To see them, click the Email tab.
Please note that this is an AI-supported feature, so always review the generated conditions and date range and change them if needed before you rely on the results. For example, Contains Any matches emails that contain any one of the words, not the whole name or phrase. See How to Perform Advanced Search.
Share or delete a FOIA search
Open the More menu (represented with ...) next to a FOIA search:
- Share — select the users to share it with and click Save Changes. Shared FOIA searches appear in the other user's Shared tab.
- Delete — click Delete to confirm. You'll see Saved search successfully deleted.
Please note that a FOIA search can't be renamed or edited in Saved Searches. To change it, run it, adjust the conditions, and save it as a new search.
