As an Account Admin, or a user with the Edit users permission, you can see the email addresses a user had before their current one. Jatheon Cloud keeps every previous address, so email archived under an old address can still be found after the user's address changes.
How previous addresses are added
When a user's primary email address changes, the old address is added to their Previous Emails automatically. This happens when the address is changed in Jatheon Cloud, or through the API, and when Microsoft Entra ID (Azure AD) sync updates it.
You can't add or remove previous addresses by hand. If an old address becomes the user's primary address again, it's removed from the list.
View a user's previous addresses
- Go to the Users section.
- Click the user.
- Open the MAILBOX tab.
The Previous Emails section lists the user's earlier addresses. If there are none, you'll see There are no previous emails.
To find a user by an old address, type it in the filter in the Users section. The filter also matches previous email addresses.
Search email sent to previous addresses
When users search their own email, they can include their previous addresses:
- Go to the Search section and open the Email tab.
- Click the Mailboxes dropdown next to the search field. It shows your email address.
- Under Previous Emails, select the addresses you want to include, or select Previous Emails to include all of them.
- Click Search.
Please note that previous addresses aren't included unless you select them. Only your current address is selected when you open Search. Compliance Officers have all their mailboxes selected by default, and users who can view other people's emails search the whole archive when no mailbox is selected.
Saved searches, keyword lists and notes you created under an old address stay with you after your address changes.
