If you have more than one mailbox, you can choose which of them to search. Your mailboxes can include your own mailbox, extra mailboxes added to your account and mailboxes associated with you. See How to Add a User Mailbox or Associate Mailbox(es).

Choose mailboxes in Simple Search

1. Go to the Search section and click the Email tab. Simple Search opens by default.
2. Click the Mailboxes dropdown, next to the search field. It shows your own mailbox at first.
3. Tick the mailboxes you want to search. They're listed in groups:
   • User Mailboxes — your own mailbox, listed first, and any mailboxes added to your account
   • Mailbox Association — mailboxes associated with you
   • Previous Emails — your previous email addresses, if you have any

4. Click anywhere outside the dropdown to close it. It now shows the mailbox you picked, or the number of mailboxes, for example 2 Mailboxes Selected.
5. Enter your search term and click Search.

The results include emails from all the selected mailboxes.

Please note that you need to select at least one mailbox. If none is selected, Search is disabled.

Choose mailboxes in Advanced Search

In Advanced Search, the same Mailboxes dropdown is in the top bar, next to Range. It works the same way, and it keeps the mailboxes you picked in Simple Search.

Search all mailboxes

If your role has the View other people's emails permission, the dropdown also has an All Client Mailboxes switch at the top. The number in brackets is how many mailboxes your organization has. When the switch is on, the search covers all of them, and you can't tick single mailboxes.

If you own a group, you'll also see an All Group Members Mailboxes switch, which searches the mailboxes of everyone in your groups. Please note that you can't use the Forever date range with All Group Members Mailboxes.

Good to know

• You only see the Mailboxes dropdown if you have more than one mailbox, or if you own a group.
• Your own mailbox is selected when you open the Search page. Compliance Officers start with all mailboxes selected.
• Your selection is kept while you move around the app. It goes back to your own mailbox if you reload the page or click Reset Search.
