As an MSP Admin, you can give any of your clients' users access to more mailboxes. There are two ways to do this:
- User Mailboxes — add another email address that belongs to the user, so their searches include emails sent to or from it.
- Mailbox Association — let the user search another person's mailbox in the same client, for example when someone leaves and a colleague takes over their emails.
Open a user's Mailbox tab
- Go to the Users section.
- Click Select a Client and choose the client.
- Find the user and click Edit.
- Open the Mailbox tab. It shows the user's Primary Email Address, their User Mailboxes, their Mailbox Association list and any Previous Emails the system has detected.
Add a user mailbox
- Under User Mailboxes, click Add Mailbox.
- Enter the email address.
- Click Add Mailbox.
You'll see a confirmation message: User Mailbox successfully added.
Associate mailboxes
- Under Mailbox Association, click Associate Mailbox(es).
- Click the Mailbox Association dropdown and tick one or more of the client's users. You can type in Search for a user... to find someone, or tick Select All.
- Click Save Changes.
You'll see a confirmation message, for example 1 mailbox successfully associated.
Please note that all of the other user's mailboxes are associated, not only their main one. You can associate up to 200 mailboxes at a time.
Remove a mailbox
- Click the bin icon next to the user mailbox or associated mailbox.
- Click Delete to confirm.
You'll see a confirmation message: User Mailbox successfully removed. or Mailbox association successfully removed. The user can no longer search that mailbox.
