How to Create and Use Keyword Lists in cCore

Keyword Lists allow you to create reusable collections of words and phrases that can be used in Advanced Search. Instead of building a complex search with multiple fields and blocks, you can create a single Keyword List and search archived messages against all terms contained in that list.

Keyword Lists are useful when you frequently search for the same group of terms, such as product names, employee names, project codes, legal terms, or compliance-related phrases.

Note: Users must have the appropriate permissions to create, edit, or use Keyword Lists.

Step 1: Open Keyword Lists

From the left navigation menu, click Keyword Lists.

Step 2: Create a New Keyword List

The Keyword Lists page displays all existing lists, their keywords, creation dates, and available actions.

Click New Keyword List to create a new list.

Click New Keyword List to begin creating a list.

Step 3: Configure the Keyword List

Enter the following information:

  • Keyword List Name – Enter a descriptive name for the list.
  • Keyword List Description – Optionally add a description explaining the purpose of the list.
  • Keywords – Enter the words and phrases you want to include.

Separate individual keywords and phrases with commas. The Keywords field supports up to 3,000 characters.

Click Save Changes when the list is complete.

Configure and save a Keyword List
Enter the list name, optional description, and comma-separated keywords, then click Save Changes.

To modify an existing Keyword List, click its name or select Edit, update the required information, and save your changes.

Step 4: Open Advanced Search

After creating the Keyword List, open the Search section and select the Advanced Search tab.

Select the message field you want to search, such as Message, Subject, Body, or another available field.

From the search condition menu, select one of the following:

  • Contains Keywords from Keyword List – Returns messages containing any of the terms from the selected Keyword List.
  • Does Not Contain Keywords from Keyword List – Returns messages that do not contain any terms from the selected Keyword List.

Select a condition that searches for or excludes terms from a Keyword List.

Step 5: Select the Keyword List

Open the Keyword List menu and select the list you want to use in the search.

Choose the Keyword List that should be applied to the search.

Step 6: Run the Search

Select the appropriate date range and click Search.

cCore will search the selected message field using the terms contained in the chosen Keyword List.

Run an Advanced Search using a Keyword List
Click Search to run the query against the selected Keyword List.

Step 7: Review the Search Results

Matching messages are displayed in the Search Results section. Keywords found in the messages are highlighted to make them easier to identify.
