How to Redact Emails

The Redaction feature allows you to conceal sensitive information from archived emails before exporting or sharing them. Redacted content remains stored in the archive and is not permanently removed. Instead, selected words and phrases are temporarily hidden from view and replaced in exported content.
Once a redaction is created, the system applies it to the selected search results, allowing administrators and compliance officers to protect confidential, personal, or sensitive information.
Step 1: Search for the Emails You Want to Redact
Perform a search and locate the messages that contain the information you want to redact. Select one or more messages from the search results.
Step 2: Open the Redaction Dialog
Click the Redact button from the toolbar above the search results.
Step 3: Define the Redaction Terms
In the Redact Words and Phrases window, optionally select a Redaction Reason and enter the words or phrases that should be hidden. You can also select keywords from existing Keyword Lists.
The selected terms will appear in the Added For Redaction section. Click Redact to apply the changes.
Step 4: Verify the Redacted Content
After the redaction is applied, the specified words and phrases are hidden within the email content. You can review the results directly from the message preview pane.
Step 5: View Existing Redactions
Navigate to Redactions from the left navigation menu to review all active redactions. The page displays information such as the search criteria, redacted phrases, reason, and the user who created the redaction.
Step 6: Manage Existing Redactions
Use the Actions menu to manage existing redactions. Available actions include viewing the affected emails, exporting redacted content to PDF, or removing the redaction when it is no longer required.
Important Notes
- Redacted content is not permanently removed from the archive.
- Redactions are applied only to the selected search results.
- Redacted emails can be exported as PDF documents with protected content hidden.
- Existing redactions can be reviewed, exported, or removed at any time.
