How to Discover Utilized Storage in Microsoft 365 and Google Workspace

This article explains how to find and monitor used storage across Microsoft 365 and Google Workspace environments. Covered services include: Email (Exchange / Gmail), OneDrive / Google Drive, SharePoint / Sites, Teams / Chat, and Calendar.


Microsoft 365 (O365)

Microsoft 365 Admin Center provides detailed usage reports within the Reports → Usage section. Admins can view storage consumption across Exchange, OneDrive, and SharePoint.

SharePoint Storage Report

Path: Microsoft 365 Admin Center → Reports → Usage → SharePoint → Storage tab
This report shows total and available tenant storage, growth trends, and capacity projections.

Mailbox Usage (Exchange Online)

Path: Microsoft 365 Admin Center → Reports → Usage → Email Activity → Exchange → Mailbox Usage
Displays active vs. total mailboxes, storage used (GB/TB), and quota status (Good, Warning, Prohibit Send/Receive).

OneDrive Usage Report

Path: Microsoft 365 Admin Center → Reports → Usage → OneDrive → Usage tab.
Shows total and active accounts, file counts, and storage used (MB/GB/TB).

View and Manage OneDrive Storage (Desktop)

Users can check their personal OneDrive space via: OneDrive App → Help & Settings → Settings → Manage Storage

Manage Storage from OneDrive Web

On the OneDrive web portal, view the current usage and largest files by clicking Manage Storage under the Storage section.

Mailbox Storage Widget (Outlook Web App)

Users can check mailbox storage through: Outlook Web App → Settings → General → Storage

SharePoint Admin – Storage Overview

Admins can view total and available tenant space from: SharePoint Admin Center → Active Sites

Mailbox Storage Trend (Alternative View)

Another view under Reports → Usage → Mailbox Usage shows historical storage usage over 7, 30, 90, or 180 days for capacity tracking.

How to Check the Total Storage Usage of Your Google Workspace

This section shows how to check total storage usage in Google Workspace.

Steps

  1. Sign in to the Google Admin Console.
  2. Go to Reporting → Reports → Apps Reports → Accounts.
  3. Scroll to the bottom and review Storage used by apps and Total storage used for your domain.
  4. Optionally, download the storage details to a Google Sheet or CSV for analysis.
